How to use this checklist
Use this checklist to plan and execute second-party supplier audits against your contractual and approved-vendor criteria. Adapt columns to quality, OH&S, environment, or information security as needed.
This is not a certification audit and not an ISO certificate. Beyond Carbon can support supplier audits; we do not certify suppliers as a CB.
Before the visit
□ Audit objectives and criteria defined (contract, specs, MS clauses you require) □ Scope agreed (site, processes, products, shifts) □ Risk-based sampling plan drafted □ NDA / site access / HSE induction requirements cleared □ Prior performance, NCRs, and complaints reviewed □ Supplier self-assessment (if used) received and challenged □ Audit team competence and independence from purchasing incentives confirmed □ Agenda and logistics sent to supplier
Opening meeting
□ Confirm objectives, scope, criteria, and schedule □ Confirm confidentiality and safety rules □ Identify escorts and process owners □ Clarify that findings are second-party — not CB certification decisions □ Agree communication path for immediate serious risks (e.g. unsafe conditions)
On-site sampling themes
| Theme | What to sample | Evidence examples |
|---|---|---|
| Leadership & roles | Who owns quality/HSE/security | Org charts, authorities |
| Competence | Critical roles for your product/service | Training, qualifications |
| Process control | Steps that affect your requirements | Work instructions, travelers, permits |
| Incoming & suppliers | Their critical sub-suppliers | Evaluation records, receiving checks |
| Inspection / release | Acceptance criteria for your PO | Records, gauges calibration status |
| Nonconformity / CAPA | Escapes and complaints handling | NCR logs, effectiveness checks |
| Change control | Spec/process changes affecting you | Change records, customer notification |
| HSE (if in criteria) | Tasks that could harm people on your jobs | PTW/LOTO, incident learning |
| Environment (if in criteria) | Waste, spills, chemicals affecting obligations | Controls, drills |
| Information security (if in criteria) | Data/system access related to your services | Access reviews, incident process |
□ Walk the process path — do not only review the meeting room □ Interview operators/supervisors, not only sales □ Photograph or reference evidence IDs per your rules
Findings and grading
□ Findings criterion-referenced with evidence □ Severity aligned to your procedure (critical / major / minor / OFI) □ Immediate containment requested where product or safety risk exists □ Supplier acknowledges factual accuracy (not necessarily root cause yet) □ Report timeline agreed
Closing and follow-up
□ Closing meeting summarizes findings without surprise dumps of unverified notes □ Corrective action due dates proportionate to risk □ Verify effectiveness — not only “procedure updated” □ Update approved-vendor status per your purchasing rules □ Feed systemic themes into your own MS (supplier control improvements)
Discuss your audit requirements
Internal audit and preparation support — not certification-body decisions.

Define pass/fail rules before the audit to avoid post-hoc negotiation.
Saudi supply-chain notes
Layered subcontracting is common in construction, industrial maintenance, and oilfield services. Extend sampling to the tier that actually performs critical work when your contract risk requires it.
Language of checklists and interviews should match the workforce producing your product or service.
Limits
This checklist does not replace your purchasing procedure or legal contract terms. It does not convert a supplier audit into CB certification. Adapt criteria to each commodity’s risk.
Consultancy vs certification
Beyond Carbon provides ISO consultancy, implementation support, documentation assistance, and audit preparation support. Independent certification bodies issue certificates after successful certification audits. Beyond Carbon does not present itself as a certification body or accreditation body.
FAQs
No. Supplier audits are second-party. Certification audits are third-party by a CB.
No. We can perform or support second-party audits. We do not issue ISO certificates.
Certificates help but may not cover your specific processes, sites, or product risks. Risk-based auditing remains useful.
Depends on scope, risk, and site size. Define duration in the plan — avoid rushed sampling of high-risk processes.
Possible for documentation-heavy scopes; high-risk manufacturing or site work often needs on-site sampling.
Escalate per contract. Limited access should be recorded as a scope limitation.
Include technical/HSE/security competence as needed. Manage conflicts of interest.
Follow your documented vendor rules — containment, conditional approval, or removal.
Contractors on your sites often need OH&S-focused second-party audits — see contractor audit pages.
Yes — align with prequalification audit criteria where you run a formal programme.
Usually yes for findings and required actions; follow your confidentiality rules.
Use auditing principles for planning, evidence, and reporting — guidance, not a supplier certificate standard.
