How to use this checklist
Work through this list before inviting a certification body for Stage 1 and Stage 2. Adapt for ISO 9001, ISO 14001, ISO 45001, ISO/IEC 27001, or integrated systems.
Beyond Carbon helps you prepare. The CB audits and issues any certificate. Completing this checklist does not guarantee certification.
Scope and CB engagement
□ Scope statement final (sites, activities, exclusions justified) □ Standard(s) and any integrated approach agreed internally □ CB shortlisted; accreditation/competence checked by you □ Application/contract with CB completed □ Multi-site sampling expectations understood □ Language and interpreter needs agreed if relevant □ Stage 1 and Stage 2 dates realistic relative to evidence maturity
System maturity gates
| Gate | Ready when… |
|---|---|
| Processes deployed | People follow controls outside the quality office |
| Records exist | Enough history for auditors to sample meaningfully |
| Internal audits done | Programme covered critical processes; findings actioned |
| Management review done | Decisions recorded; actions tracked |
| CAPA working | Nonconformities closed with effectiveness checks |
| Objectives live | Monitored with current data |
□ All gates above reviewed by a readiness owner □ Major known gaps closed or explicitly risk-accepted with plan (prefer close)
Evidence pack / index
□ Master list of documented information with owners and locations □ Policy, objectives, scope easy to retrieve □ Process maps / procedures for in-scope processes □ Risk/aspect/hazard/information-security risk outputs as applicable □ Competence and awareness records for critical roles □ Operational records for high-risk processes (production, PTW, access, etc.) □ Supplier/contractor control evidence □ Monitoring, calibration, or measurement records as applicable □ Internal audit reports and CAPA □ Management review minutes and action log □ Prior CB or customer audit findings status (if any)
People and logistics
□ Process owners mapped to audit agenda slots □ Backups identified for leave/shift coverage □ Site HSE induction arranged for CB team □ Workspace, Wi-Fi, and document access tested □ Remote interview links tested if hybrid audit □ Escorts briefed: facilitate, do not answer for owners □ Workers informed an audit is happening (reduce fear, not script lies)
Stage 1 vs Stage 2 focus
| Stage | Emphasis | Prep focus |
|---|---|---|
| Stage 1 | Documentation, planning, readiness | Scope, design of system, key documented information |
| Stage 2 | Implementation and effectiveness | Records, interviews, operational sampling |
□ Stage 1 findings addressed before Stage 2 as required by CB □ Do not treat Stage 1 as optional paperwork

Need help applying this?Interview readiness
□ Leaders can explain policy, objectives, and priorities in their own words □ Supervisors can show how controls work on the floor/system □ Staff know how to report incidents, nonconformities, or security events □ Nobody coached to hide problems — honesty beats panic inventions □ Mock interview optional but valuable for nervous teams
Day-of audit checklist
□ Opening meeting attendees present □ Evidence runners available □ Findings triage contact identified □ Confidentiality rules respected (especially ISMS/HR data) □ Closing meeting scheduled with decision-makers □ Notes captured for internal CAPA intake
After the CB leaves
□ Log findings with owners and due dates □ Contain immediate risks □ Perform root-cause appropriate to severity □ Submit responses per CB instructions □ Verify effectiveness before claiming closure □ Plan surveillance maintenance — certification is not the finish line
See surveillance audit preparation for the next phase.
Consultancy vs certification
Beyond Carbon provides ISO consultancy, implementation support, documentation assistance, and audit preparation support. Independent certification bodies issue certificates after successful certification audits. Beyond Carbon does not present itself as a certification body or accreditation body.
Certification roles
| Role | Responsibility |
|---|---|
| Organization | Owns and operates the management system and evidence |
| Consultant | Advises, implements, and prepares — does not issue certificates |
| Certification body | Independently audits and decides certification |
| Accreditation body | Assesses competence of certification bodies |
| ISO | Develops international standards — does not certify organizations |

No. Use it alongside the purchased standard and your documented system.
Address documentation/readiness findings, then proceed when the CB agrees. We can help close gaps.
After the system is implemented enough to generate records — not the week you hope for a miracle date.
Yes when stakes are high, ownership is new, or prior findings were serious.
Confirm sampled sites early and prep those sites specifically.
One evidence index with discipline tags beats three conflicting binders.
