Documents vs documented information
Modern ISO management system standards speak of documented information — maintained documents and retained records — rather than a fixed universal binder list. Needs depend on the standard, scope, size, and complexity.
There is no magic checklist that replaces reading your chosen standard and designing controls that fit your organization.
Commonly needed documented information
Scope of the management system. Policy (quality, OH&S, environment, information security — as applicable). Objectives and plans. Risk/opportunity or risk-assessment outputs required by the standard. Process descriptions or equivalent controls. Competence evidence. Operational records proving processes run. Internal audit programme and results. Management review results. Nonconformity and corrective action records.
For ISO/IEC 27001, the Statement of Applicability is a distinctive required document.
What is not automatically mandatory
A document titled "quality manual" is not universally mandated by ISO 9001. Endless procedures for trivial tasks are not required. Duplicate forms that nobody uses add risk, not conformity.
Document what is necessary for effectiveness and for demonstrating conformity — then control it.
Control of documented information
Ensure availability, suitability, protection, distribution, version control, retention, and disposition as needed. Outdated procedures at point of use are a frequent audit finding.
Electronic systems are acceptable when controls work; paper can be acceptable when controlled.

Need help applying this?Records that prove the system runs
Auditors sample records of monitoring, inspections, incident or nonconformity handling, training, supplier evaluation, design reviews (if applicable), calibration, access reviews (for ISMS), and similar evidence tied to your processes.
Empty templates are not records.
Language and accessibility
In Saudi workplaces, decide which documents must be Arabic, English, or bilingual so users can follow them. Critical operational controls should be understandable to the people performing the work.
Align tender submission language with controlled system documents to avoid contradictions.
Consultancy vs certification
Beyond Carbon provides ISO consultancy, implementation support, documentation assistance, and audit preparation support. Independent certification bodies issue certificates after successful certification audits. Beyond Carbon does not present itself as a certification body or accreditation body.
Certification roles
| Role | Responsibility |
|---|---|
| Organization | Owns and operates the management system and evidence |
| Consultant | Advises, implements, and prepares — does not issue certificates |
| Certification body | Independently audits and decides certification |
| Accreditation body | Assesses competence of certification bodies |
| ISO | Develops international standards — does not certify organizations |
FAQs
Each standard specifies required documented information differently. Avoid generic internet lists that ignore your standard and scope.
No. Some requirements are met through processes, competence, and records without a dedicated procedure document.
In ISO/IEC 27001, it documents information security controls considered and justifications for inclusion or exclusion. See the glossary entry.
Templates can accelerate drafting but must be adapted. Unedited generic manuals often fail audits.
Define retention based on legal, contractual, and system needs. Document and apply the rules.
Usually not. Stage 1 also looks at scope, planning outputs, and readiness evidence such as internal audit and management review.
You may need purchasing information, evaluations, and controls proportionate to provider impact on conformity.
Yes — documentation services and implementation support, always tied to real processes. We do not sell certificates.
